Visual Resources Library
The Visual Resources Library houses the teaching and study collection of art images. All use of the collection is predicated upon training.
Slides leave the library only to support research presentations for your classes within the Department of Art. Graduate student use of the collection for research is to be supervised and directed by the faculty member who is teaching the course. If slides are required for a research presentation, see your professor in order to make appropriate arrangements.
Teresa Transou is the Visual Resources Curator for the Art Department. She comes to UNCG from West Virginia where she completed her A.A. in Commercial Design at Fairmont State University and her B.A. and M.A. in Art History at West Virginia University with a thesis dealing with the symbolic vocabulary of the British artist William Blake. Teresa's work with the department's digital database, MDID, has been integral to the instruction of Art History courses at UNCG as well as fostering a 21st Century approach to teaching application in the visual realm. By bridging the past to the present, Teresa Transou is expanding the digital art historical collection with the help of work-study and graduate students. It is the continuing goal of the Visual Resources Library and its Curator to provide visual archival materials for faculty and student use, in order to facilitate the highest possible quality educational experience.

POLICIES and PROCEDURES for USE of the VISUAL RESOURCES LIBRARY
The UNCG Visual Resources Library is maintained by the Department of Art for its faculty and students. Its primary purpose is to support the teaching and research needs of the faculty. Visual formats collected by the Library include slides and digital images. The Library also maintains a small collection of books and periodicals. The contents of the collections reflect the teaching interests of the faculty with emphasis on western art from Ancient to the 20th Century, Photography and Printmaking. Nonwestern areas of emphasis include Asian, Mesoamerican and traditional and contemporary African art.
The Department of Art maintains the Visual Resources Library as a teaching and research facility for its faculty and students. The primary function of the collection is to support the academic program. Priority is given to classes taught in the Department.
The Visual Resources Library Collection is open to ALL art history faculty, art education faculty, studio art faculty, adjunct faculty, Department of Art graduate students and Department of Art undergraduate students currently enrolled in either art history or studio art courses. Graduate students with an assistantship in the Visual Resources Library may be granted a key with the permission of the Curator. Keys are not to be loaned out under any circumstances. The Visual Resources Library is open from 8:00Am to 4:45PM Monday through Friday.
All materials in the UNCG Visual Resources Library are subject to copy restrictions. Copyright legislation restricts the use of copyrighted materials used outside the classroom. Reproduction of the collection's slides or digital images in any format is prohibited.
VISUAL RESOURCES LIBRARY ETIQUETTE
- All users of the Library should understand that the Library is a working environment. As such, if at any time you require quiet (i.e., no conversation, radio, etc.) please ask for quiet time.
- In addition to the faculty of the Department, graduate and undergraduate students giving class presentations may use the collection. An orientation to the collections is required before first using the facilities.
Any one interested in using the collection MUST receive orientation to the collections before first using the facilities.
The Visual Resources Collection is open to:
- Department of Art faculty and other registered patrons: Registered patrons are UNCG Department of Art faculty, who have registered with the library and who have been issued individualized drop-cards. This category is for individuals who will be using the collections on a regular basis. ALL SLIDES MUST BE RETURNED BY SEMESTER'S END!!!!
- Borrowers must leave a drop-card in the file for each slide removed.
- Locate the desired slide from the filing cabinet.
- Most faculty members have his or her own card. Use your card and replace the slide pulled with that card. In the absence of having a card with your name on it, please use the cards marked "PATRON" and clearly write your name on each card.
- Slides may be removed up to 48 hours in advance of the lecture for which they are being used. Slides should be returned immediately after the lecture.
- Slides should always be returned to the re-file box or the Curator as soon as they are no longer needed.
- A borrower may not remove slides from a colleague's lightbox. Slides removed from faculty lightboxes are NOT the responsibility of the Slide Library.
- Slides pulled by those OTHER THAN Art History faculty should be photocopied. The photocopied sheet is signed and dated by the borrower and placed in the check out binder. If the slides have not been returned within 48 hours, this form acts as a reminder to the staff to contact the borrower. Failure to return slides in the allotted loan time may result in the revocation of Library privileges.
- Art students and other temporary users
- Department of Art students may use the Visual Resources Library after they have received a short orientation to the collection. Students may borrow slides for classroom presentations. This category is for temporary users who will be using the collection on an occasional basis.
- Students and temporary users must show a valid ID and fill out a slide checkout form. Slides may be selected up to two weeks in advance and placed on reserve until the day of the lecture. Slides should be returned immediately after the lecture.
- Borrowers are assigned temporary drop-cards. Each slide removed from the collection is replaced by a drop-card. Two photocopies of the slides are made. One is given to the student; the other is attached to the sign-out form and placed in the check out binder in the slide library until they are returned to the collection.
- Immediately after the lecture, the slides should be returned to the Slide Library and given to the staff to be checked against the photocopied sheet and returned to the file box.
Do Not carry loose slides out of the library. Any slides that leave the library must be in either a small box (we have plenty to loan) or a slide carousel (we have plenty to loan).
Art History faculty should place slides being returned into the appropriate box with their name on it, behind the curator's desk. ALL SLIDES MUST BE RETURNED BY SEMESTER'S END!!!! (This is for inventory purposes)
All other borrowers should return their slides directly to the curator or library staff member. DO NOT leave slides on the counter. The staff must verify slides before you leave.
ACQUISITIONS/COLLECTION DEVELOPMENT POLICIES
The Visual Resources Library is owned and maintained by the Department of Art in support of its academic programs.
- Goals and objectives
- The primary goal is to develop and increase the scope and depth of the visual collections holdings in subject areas and media that meet the teaching and research needs of the current faculty and students.
- Priority is given in the following order: (A) to new and existing classes that are a permanent part of the Department's programs where the collection is inadequate or underdeveloped; (B) to new and existing classes that are offered on an occasional basis where the collection is inadequate or underdeveloped; (C) to existing classes where the collection is adequate but there are requests for increasing its depth or scope; (D) to replenishing old, damaged, or lost materials.
- The Library Curator reserves the right to reject materials deemed inappropriate. Decisions are based upon the collection goals and objectives as stated in item (2) above.
- The Library does not make slides or digital images for individual's private collections. If a faculty member needs images made for a presentation off campus and those images are not deemed appropriate for the collection, faculty members can use the facilities to make their own images. The Library will provide facilities and or equipment but will not provide materials or labor.
- Selection sources
- Materials are acquired by one of three methods: gifts and donations by faculty and friends; purchases from commercial sources; photo, digital or analog copies from print or electronic media.
- The Visual Resources Library maintains files of commercial slide and image vendors. The files are replenished and acquired from vendor booths at annual conferences and from application to mailing lists.
- Procedures for requesting new materials
- The Visual Resources Library honors requests from faculty of the Department of Art. Requests are prioritized based upon the stated goals and objectives (item number one, above), budgetary constraints, and time constraints.
- Requests for slides/digital images should include a completed Request Form that can be obtained in the Visual Resources Library. The completed form is attached to the item from which the copy is to be made (book, magazine, postcard, etc.) and given to the librarian for approval. Any image requested must be searched on MDID prior to the request in order to avoid duplicating images. The Visual Resources Library attempts to process requests in a timely manner and may even honor very short turn-around times in cases of emergency, but faculty are encouraged to allow two to four weeks for processing.
- Every Professor/Instructor is allowed 50 images every two weeks per course taught, free of charge. All image requests must be placed through the Slide Curator. (Regardless of who process the images i.e., your graduate assistant) Any image requested must be searched on MDID prior to the request in order to avoid duplicating images.
- Choose your images carefully. Do not request entire books.
- Fill out the image request sheet. (Found in the Slide Library)
- Make sure you fill out a separate sheet for every source!
- Give your books and image request sheets to the Curator.
- Requests will be taken to the TLC on alternating Tuesdays.
- Images will be put into MDID within one week of being returned to the Slide Curator from the TLC
- There is approximately a three-week turnaround from the time you request your images to the time they can be used in MDID.
- All images requested for uploading into MDID become the property of the Slide Library and will be catalogued as such. Any images requested by a Professor/Lecturer for non-instructional use, made by the TLC, are subject to being charged 15.00 per hour to cover production costs.
Slides and digital images are produced or duplicated in accordance with the "fair use" guidelines. Slides and digital images are used for educational purposes only.
- Producing slides and digital images from copyrighted bookplates
- Slides produced for the collection will not be used for study or research as a replacement for the copyrighted work (e.g. book from which the slides were derived).
- Only one copy of an image from a copyrighted work will be made.
- When slides of acceptable quality are available from a commercial source, every effort will be made to purchase the slides.
- In those cases where there is no indication that there are separate copyright owners for plates or figures apart from the copyright owner of the text of a book, not more than 10% of the images will be produced as slides.
- Duplication of slides and digital images from the collection
- No duplication of the collection holdings will be permitted.
- The collection holdings may not be used for commercial purposes, including but not limited to television, print media, video disc or videotape broadcasts without written permission of the copyright holder.
- No monetary profit shall be realized by any party, including the university, from the duplication of the collection holdings.
- Copyright Notice: "Slides and digital images may not be reproduced, transferred to any other media, or broadcast in any manner. It is implicit in the lending that the borrower agrees not to authorize duplication or reproduction of slides and assumes all responsibility for the restriction. Borrowing slides implies compliance with the stated policy. Failure to comply will result in suspension of borrowing privileges."
- Internet resources and web pages
- Digital images copied from the slide collection for study pages on the web will be password protected.
EQUIPMENT USAGE POLICIES
- Equipment for classroom use
- Priority: Equipment for classroom use takes priority over any other event.
- For those outside the Department of Art teaching classes or hosting lectures in either room 103 or 107 of the Cone building, please be sure that you have been trained by Vic Sutton on the teaching stations specific to these rooms. Although each station, in theory, is the same, the teaching stations in 103 and 107 Cone are different enough to require separate training.
- Lectures held in the evening require the presence of a technician for use of the equipment. The staff of the Slide Library is not responsible for training or help with these two teaching stations. Vic Sutton may be reached at x5078 or via email at v firstname.lastname@example.org .
- Students and guests need to be reminded of the no food or beverage policy applicable to 103 and 107 Cone, as well as the Weatherspoon Museum. This policy is strictly enforced. Classrooms should be left clean and orderly with desks put back into their original locations. Please be sure that all equipment is turned off and put away, and that the teaching stations and cabinets are locked.
- Please also note that the analog slide projectors are for use by Department of Art faculty only, no exceptions.
- Faculty and Graduate Assistants pick up and return their own equipment.
- Students may pick up equipment for a professor only if the professor has notified the Visual Resources Library staff, in writing, at the beginning of the semester.
- Students picking up equipment for a professor must have a valid university ID and must sign for the equipment.
- Equipment must be signed out and signed in on the sign-out form.
- Equipment that can't be returned during work hours (8-5) should be locked in the borrower's office and the staff should be notified so that they can retrieve it from the office the next morning.
- All other events
- Priority: This receives the lowest level priority
- All requests must go through the Departmental Chair.
- If approval has been given, the Equipment Contract must be signed.
All faculty requiring assistance with the Teaching Station (ELMO) in the Weatherspoon Auditorium (Cone 103) or Cone 107 need to call Vic Sutton at 334-5078. Please allow plenty of time for instruction on the equipment before you need to use it.
