Appendix 10: Priorities and Policies for Scheduling Studio Space (revised 9/06)

The Department strives to allocate its limited studio space to its large number of faculty and students in a fair and equitable manner. The task of scheduling studios is handled by the technical director. Studio reservations are requested using forms available next to the posted schedules on the main Departmental bulletin board outside the Dance Theater. Some reservations can cover an entire semester or project; others are scheduled week-by-week. Schedules are generally posted on Wednesday or Thursday for the following week. Once they are posted, any UNCG student may sign up for an available space following policies noted below.


Details of priority order and specific hourly allocations are adjusted based on Departmental circumstances from semester to semester. The basic priorities for assigning space are as follows:


ADVANCE RESERVATIONS, semester-long or for duration of project


1. Regularly scheduled classes, including DCE243 and 343, normally set by the Department Head. Faculty who wish to hold an occasional class in a studio setting may request it using the normal procedure described above.
2. Faculty research time, including DCE443.
3. Master Production rehearsals, beginning the semester prior to the event.
4. DCE 470 rehearsals, spring semester only.
5. Prime Movers Concert rehearsals, once concert program is selected.
6. DCE651 rehearsals.


NOTE: Though every effort is made to adhere to reservations made early in the semester, the technical director may need to adjust times and/or spaces in unusual circumstances.


ADVANCE RESERVATIONS, scheduled week-by-week


NOTE: A single reservation request is sufficient; studio users don’t need to submit a weekly request unless their desired rehearsal times change.


1. DCE253/453 rehearsals
2. Other DCE student or faculty requests
3. Other UNCG community requests (generally require approval of the whole faculty)
4. Other requests (must go through Continual Learning and be approved by dance faculty via the technical director)

SIGNING OUT SPACE ONCE SCHEDULES HAVE BEEN POSTED
1. Faculty, staff, and declared dance majors and minors (and concentration students) in the Department: Write in both first and last name clearly. Those who sign up are presumed to be using the space for their own University-connected work, not to gain space for a non-affiliated group. The student/staff/faculty member must either be present for the whole time they have reserved space, or notify the Technical Director (in writing) regarding the name of the responsible party conducting the rehearsal.
2. All other UNCG students and staff must register with the Department, signing the rehearsal space agreement form and giving full contact information. Once they do this, they may reserve space in advance (Departmental priorities for assigning space will be followed) or sign up after the schedule has been posted. Those who sign up once the sheet has gone up must write in both first and last name clearly.
3. Anyone else must go through Continual Learning to arrange to use any space on campus.
