Subject:            Implementation of RAMSeS (Research Administration Management System & eSubmission) at                         UNCG and elimination of Green Folders

The Office of Sponsored Programs and the Office Research Compliance at UNCG have been working with the Office of Research and Economic Development at UNC Chapel Hill to replace the paper based “Green Folder” proposal submission process with the comprehensive Electronic Research Administration (eRA) system recently developed and implemented by the Chapel Hill campus.  RAMSeS, an information system tailored specifically to accommodate the research needs of UNC system schools, will provide cutting-edge technology to the UNCG research community, enabling research administrators to manage research more efficiently and effectively than ever before.

RAMSeS at UNCG will offer proposal development on-line, electronic routing of internal processing forms for signature, a web based portal allowing campus users access to research data, and the ability to generate reports.  Electronic routing of internal processing forms will:  1) eliminate the need for proposals to be “walked” around campus; 2) users and approvers can utilize a status checker function to view approval routes and status of submitted internal processing forms; 3) approvers will be able to add comments as they approve/reject an internal form; and 4) users will have the ability to upload attachments such as budgets to be reviewed by approvers.

RAMSeS at UNCG will be fully integrated with UNCG’s Office of Research Compliance responsible for coordinating the activities of such internal committees as the IACUC, IRBs and Conflict of Interest.  The RAMSeS system will work in conjunction with IRBIS, the soon to be implemented on-line application system for IRB Approval of Human Subjects Research. This level of integration will enable the University to further grow the research enterprise, while continuing to do an excellent job ensuring that UNCG protects its human and animal subjects and exceeds the research and compliance requirements set forth by federal and state agencies. 

The planned roll-out date for the initial Phase I of RAMSeS is September 15, 2007.  This will involve a test site to be used only by central office staff and selected de-central research administrative support staff.  The test site will also be made available to all Research Deans.   Once these initial users have been in test mode for at least two months and are completely comfortable with the system, we envision the implementation of Phase II of the project.  This will involve the development of a comprehensive training course for all departmental personnel and PIs.  It is envisioned that the “GO LIVE” date for the campus community will be December, 2007.
