Classics Club Constitution

Statement of Purpose/Mission

To promote the knowledge and appreciation of the ancient world

Statement of non-discrimination

The Classics Club will not discriminate on the basis of race, color, creed, religion, gender, age, national origin, disability, military, veteran status, political affiliation or sexual orientation. This organization is limited to members of the UNCG community, which includes undergraduates, graduates, and faculty members.

Membership Requirements

I. Eligibility for membership
a. Students, faculty, and staff of the UNCG community may be members of the Classics Club. Faculty and staff of the Classics Department will be considered “Honorary members” and therefore not pay dues, or have the obligations of other club members
b. Student members must be at least part time students who are in good academic standing with the university
II. Removing Members
a. Members may be removed if they fail to meet the eligibility requirements or are convicted of a felony, or by
fourth-fifths majority vote by the officers
III. Membership obligations
a. Dues will be set yearly by a majority vote of the officers, but shall not be less than $5 or more than $10 per semester
b. Mandatory attendance of the meetings is not required

Officers

There will be five officers. Any due-paying member of the club, who has been a member for at least one semester prior to
elections, who meets the eligibility requirements and has successfully completed or is currently enrolled in a course offered
by the Classical Studies Department may run for office. All officers are expected to attend the meetings, and may miss no more
than three, consecutively.

I. President (Consul) The duties of the president include:

  • Attending all meetings mandated by the Office of Student Life
  • Serving as liaison to the faculty advisor
  • Establishing meeting times and locations
  • Attending all meetings
  • Presiding over each meeting
  • Enforcing Robert’s Rules of Order

II. Vice President (Praetor)

  • Ensuring that all paperwork on file with the university is current
  • In the event that the president cannot attend the meeting, the Vice President will assume the duties of the president
  • Will also enforce Robert’s Rules of Order

III. Treasurer (Aedile)

  • Treasurer will make arrangements for the collection of dues and fees for any club event
  • Handles, distributes, and collects funds from fundraising activities

IV. Event Coordinator (Pontifex)

  • Organizes the locations and reservations for planned club activities
  • Designates authority over fundraising activities and community service events
V Secretary (Quaestor)
  • Keeps detailed records of the meetings and provides the president with a summary of each meeting

Terms/Removal of Officers

I. Terms

a. The term of office shall be one academic year (Fall and Spring semesters) for all officers
b. In the event of a vacancy, an election shall be held in accordance with the guidelines for electing officers

II. Removal of Officers

a. If any member has a legitimate complaint, they must speak with the president; should the grievance concern the president,
the member shall approach the vice president
b. The informed officer must alert the faculty advisor that a complaint has been made
c. An emergency meeting will be called, in which the plaintiff and defendant will have a chance to speak on their own behalf.
Following this, the entire club will vote by secret ballot, which will be counted openly by the faculty advisor in the meeting.
The officer will be removed with a 2/3 majority vote.

III. Elections

a. Nominations for office will be taken at the third to last scheduled meeting in the Spring. Any member who fulfills the requirements
to hold office and has been a member of the Classics Club for at least one semester prior to running for an office may be nominated.
b. Elections are to be held on the last meeting of the Spring semester, which will be scheduled by the outgoing president.
c. Voting will be done by secret ballot
d. Ballots will be counted by the faculty advisor, who will email the results to members.
e. In the following Fall semester, all elected officers will assume their responsibilities
f. Academic eligibility will be verified by the faculty advisor

IV. Finances

a. Dues will be required for all members. These will be collected by the treasurer within the first month of the first meeting in the
Fall and Spring semester. The amount (no less than $5, but no more than $10) will be set by the newly elected officers.
b. It is the duty of the treasurer to collect and disburse funds
c. Failure to pay dues will result in the termination of membership
d. All club expenditures will be subject to a vote (2/3 majority rules).
e. All withdrawals must be approved with a signature from the faculty advisor
f. The organization’s money shall be kept in an on-campus account.

V. Meetings

a. Meetings shall be weekly or biweekly as determined by the officers. Emergency meetings can be called as necessary.
b. The first meeting of the semester shall be held within the first month of the Fall and Spring semester.
c. Members will be notified of meeting times and locations via email
d. Organizational decisions will be made by a 2/3 vote of the entire club
e. All members who meet the Club requirements are allowed to vote
f. A quorum meeting is defined as three out of the five officers and at least three other members.

VI. Amendments to the Constitution and Bylaws

a. Amendments will be proposed during meetings, and, if an officer seconds the proposal, an amendment can be passed with
a 2/3 vote among all members present at that meeting.
b. If a student organization wishes to make changes to their constitution, they must submit the changes in writing to the
Assistant Director for student Life for review. The Assistant Director has ten (10) academic days to review and approve
changes. SOs may not implement changes in their organization until they have received written approval from the Assistant
Director for Student Life.

VII. Parliamentary Procedure

a. Robert’s Rules of Order will be used
b. The President and Vice President are responsible for enforcing these rules

VIII. Advisor

a. The advisor is a liaison between the club and the department/university, approves any monetary transactions, and mediates club conflicts.
b. The advisor is required to attend at least one meeting per month
c. He/She will count the ballots from elections and email the results to all club members and existing officers.
d. The advisor does not have the privileges of a club member (i.e. voting, proposing amendments) He/She is merely an overseer and consultant
for the club and officers.
e. The advisor will be selected by the preference of the president after they are elected (The advisor must be selected from the Classics
Department faculty).
f. The advisor can be terminated by 2/3 vote of the officers
g. The advisor’s term of office is as long as the term of the current president. After elections have been held, the new president will select
their preferred faculty advisor.

IX. Affiliations

a. The club has no affiliations with local, state, national, or international organizations.
