Undergraduate Student Advisory Committee (UGSAC)

Guidelines/Procedures/Criteria for UGSAC

Rationale for the Committee:

· Identify student excellence-give recognition to these students.
· Serve as a "clearing house" for resources for students receiving UNSATS/academic probation.
· Serve as a resource for:
                                        a) faculty with students who need assistance at times other than during UNSATS
                                        b) student self-referral at any time during the semester
 

Procedures

· Students will be recognized for the following: Dean's List, 4.0, and 3.0 and above for each semester.

· Students receiving UNSATS  will be sent a letter or email strongly recommending that they make an appointment within two weeks of receiving the UNSAT to talk with members of the committee.  A copy of the letter will be placed in the students file.
    (It is suggested that the student meets with two members of UGSAC at the scheduled appointment time, to show strength of support for the student (not to be misconstrued as intimidation for the student) and to ensure there is witness to shared information during the appointment.  Students will be informed that they may ask another person to accompany them to the appointment if they wish.

· Students will be asked to bring a copy of their course syllabus with them to the appointment.  This document may help to clarify class/course requirements for the committee members, and to serve as a "reminder" for the students of expectations within that particular class.
    On receiving the appointment information, a student may elect not to make an appointment with the committee.  In this event, a note to that effect (e.g. No Follow-Up) will be put on the copy of the letter in their file.  Similarly, if an appointment is made and kept by the student, notation will be made (e.g. action taken: referred to Learning Assistance Center (LAC)).

· During the advising period, advisors will be asked to check the letter to see if student follow-up had been made (this will take a glance at the letter!).  If no follow-up was made, no further action will be taken until a repetition of an UNSAT occurs the following semester; the procedure for referral to the UGSAC will again be employed.

· Advisors may want to ask how the "action taken" went so the student feels well supported by the advisor and the department.

· When a student meets with the committee members, the UNSAT area(s) identified by the instructor will be addressed.  The student, where applicable, will then be guided to a university resource such as LAC, Counseling & Testing Center, etc.

· UGSAC is not trying to deal with issues regarding academic integrity or problems social in nature.  If issues of this kind come up, (which is probably inevitable), the student will be referred to the appropriate resource on campus.

· Faculty referrals of students may be made at any time during the semester.  Faculty should contact the Chair of UGSAC and a letter will be sent to the student concerned.  The procedures for faculty referral will be the same as for UNSAT referral.  The Chair will follow-up with the faculty member regarding action taken.

· Students' self-referral may be made at any time during the semester.  Students should contact an UGSAC member by e-mail, phone, note, or office visit to set up an appointment.  The student will meet with two UGSAC members at the appointment*.  Follow-up with the student should be made by the UGSAC member setting up the appointment.  To respect confidentiality, at the student's request, no record of the meeting will be made when the student has made a self-referral.
